How to hand over and receive my car when it is rented (for cars on physical key handover plan)?

Now that you are hosting a trip for a guest with Drive mate and are ready to start earning from your car, we have a few simple steps for you to follow:

Note that these steps are only valid for physical key handover plan (Just mates / Good mates). For best mates, the process is managed by Drive mate.

Pick up location & time:

Ideally, contact your guest sufficiently before pick-up to align on the exact pick up time & location. By default, the pick-up time & location is the same as mentioned on your trip page. Please be available on the scheduled pick-up date & time.

What to check when you meet your guest:

  • Ensure your guest is carrying a valid driving license. The name on the driving license should match the one with which booking is made. Only the guest who has booked the trip is allowed to drive.

When you reach the pick-up location:

  • Meet your guest at the location of the car. 

  • Wait for your guest to take pictures of the car and odometer. The guest must upload pictures of the car including any scratches, dents and odometer with clear mileage & fuel readings.

  • You will then receive an email & sms notification when they request pick-up. Click the link.

  • After which, you can confirm pick-up by pressing “confirm pick up” on the trip page. Uploading of car pictures for the host is optional. In case you feel that the guest has not captured the condition of the car accurately, you can add pictures via the trip page.

  • Once you press “Confirm Pick up”, the trip starts. 

 

Drop off location & time:

  • The drop off location should be the same as pick up location unless explicitly agreed with the guest.

  • The guest is required to drop off the car either before or at the scheduled date & time. They are given a 2-hour grace period beyond the scheduled drop off time as well. For e.g. if the scheduled drop off time is 4 pm, then ideally guest should return by 4 pm. However, if for any reason they are not able to return by 4 pm, then they need to inform you and return the car no later than 6 pm. Anything later than the grace period will be charged to the guest in line with the late fees policy.

When you reach the drop off location:

  • Meet your guest at the drop off location.

  • Let the guest request drop off. Before you confirm drop off, please check the following:

  • Pictures uploaded by the guest at drop off including mileage & fuel reading.

  • Pictures uploaded by the guest at drop off including mileage & fuel reading.

  • Any new dents/ scratches that seem to have appeared during the trip

  • If you are happy with the condition of the car, click the link sent to you by email & sms, then press “confirm drop off”

  • Leave a review for your guest. 

  • With this, your hosted trip ends successfully.

However, 

  • If there is a dispute regarding car condition (scratch marks/ dents/ car dirty exceptionally), then press “dispute” and let the guest return the car. Take necessary photos as evidence and upload on the trip page with your comments. Inform Drive mate at (03) 4160 2205 immediately. 

  • If there is a difference in fuel level, take a clear photo of the fuel gauge and upload on the trip page with your comments. Press confirm drop off. Inform Drive mate at (03) 4160 2205 immediately. 

  • If the mileage is unexpectedly higher (guest driven more than allowance), take a clear photo of the odometer and upload on the trip page with your comments. Press confirm drop off. Inform Drive mate at (03) 4160 2205 immediately.
